Common Questions

Claims and submission

When are my claims sent to OHIP? How do I know?

Every day at 4 PM Toronto time. SnapBill checks your unsent claims in the afternoon, schedules the ones that pass, and sends them in the 4 PM batch. You get an email when they are submitted, and they move to Submitted on the Claims page. See Submitting to OHIP.

Where is the Submit button?

You don’t need one. Saved claims are sent automatically in the daily batch. If you want claims checked and scheduled right away, tap Send all to SnapBill on the Unsent tab, or select claims and tap Send [number] to SnapBill.

What does “Scheduled” mean?

The claim passed its checks and goes to OHIP in the next 4 PM batch. Nothing to do. See Claim Statuses.

What does “Needs you” mean?

The check before submission found something that would likely get the claim refused. Hover or tap the chip to see why. The claim is not sent until you fix it or choose Submit anyway in the review banner at the top of the Claims page. See The review banner.

What does “Held” mean?

SnapBill is holding the claim and it will not be sent until SnapBill releases it. Hover over Held to see the reason. Questions: support@snapbill.ca.

A claim has a question. Do I have to answer it?

No. Questions (code combinations, special visit times or settings) are not errors. If you don’t answer, the claim goes to OHIP as billed. See The Questions panel.

Filling in claims

What is the service location, and when do I need it?

The service location (SLI) tells OHIP where you saw the patient. Leave it blank for office, clinic, home and virtual visits. Hospital visits need one: HIP (in-patient, also needs the admission date), HOP (out-patient), HED (emergency) or HDS (day surgery), plus the hospital’s facility master number.

How do I set the service location for many claims at once?

  • In Snap: on a list of patients, use the Service location picker in the toolbar. It sets the location for the selected patients, or the whole list if none are selected. See Snap.
  • On the Claims page: select the claims, tap Bulk Edit > Encounter info, tick Service Location, pick it, then Apply. See Bulk Edit.
  • For every new claim: set a Default service location in Settings > OHIP Billing. See Settings.

When do I need a referring physician?

Only for codes that require a referral, such as consultations (for example A035). Follow-up assessments such as A033 do not need one. The Claims page only flags Referring physician missing on codes that need it. You can set one for many claims with Bulk Edit > Referring Physician.

The Claims page says a field is missing. How do I fix it?

Hover or tap the badge in the Issues column. It names the field, lists the affected codes and says how to fix it. To fix the same field on many claims, use Bulk Edit > Encounter info. See Issue badges.

Other software and staff

Can I use SnapBill alongside PS Suite, Oscar, Accuro or a billing agent?

Yes. You can have several designees on MC EDT, and adding SnapBill does not remove anyone else’s access. SnapBill reads every remittance for your billing number, including claims sent by other software. The Claims page shows claims sent through SnapBill. Submissions > Reconciliation shows everything paid on your remittances, split into Billed in SnapBill and Billed in other software.

A claim I sent from other software was refused. Can SnapBill resend it?

Yes. Go to Submissions > Reconciliation and find Refused claims from other software. Tap Rebill in SnapBill to open a new claim with the patient and service filled in. See Fixing Rejected Claims.

Can my secretary or office staff use SnapBill?

There are no separate staff logins for a solo physician yet, so staff sign in with your account. On the Premium plan your staff can also email photos or PDFs of billing sheets to your own claim-sheet address (Settings > OHIP Billing > Claim sheets by email). They wait in Snap History for review, and nothing is submitted until the claims are created. For group billing with staff roles, email support@snapbill.ca.

Trial and payment

Do I need a credit card during the free trial?

Not at first. The Premium trial is 3 months, counted from when your OHIP connection is first verified, and SnapBill’s fee is waived during it. You can submit claims without a payment method for the first 2 months. From the last month of the trial, add a card or bank account in Settings > Plan & Payment to keep submitting.

Why does the Claims page say “Complete setup to submit claims”?

Something needed for submission is missing: your OHIP connection, your billing number and specialty, or (after the first 2 months of the trial) a payment method. The banner links to what is missing. See Submitting to OHIP.
