Health Card Validation
SnapBill can verify OHIP health cards directly with the Ministry of Health using the Health Card Validation (HCV) service. This confirms that a patient’s card is valid and eligible for billing before you submit a claim.
Why Validate?
Submitting a claim with an invalid or expired health card results in a rejection. Validating cards before submission helps you:
- Catch expired cards early
- Verify the patient’s identity matches the card
- Reduce claim rejections
- Update patient records with current information
Validating a Single Card
From the Patients Page
Click the shield icon next to any patient to validate their health card. SnapBill sends the health card number and version code to OHIP and returns the result within seconds.
From the Health Card Checker Tool
Navigate to Tools > Health Card Checker in the sidebar. Enter:
- Health card number (10 digits)
- Version code (2 letters)
Click Validate to check the card.
From the Claims Page
While viewing a claim, click the shield icon next to the patient’s health card number to validate it inline.
Validation Results
After checking a card, you’ll see one of these results:
| Result | Meaning |
|---|---|
| Valid | The card is active and eligible for billing |
| Invalid | The card number or version code is incorrect |
| Expired | The card has expired — the patient needs a new one |
| Card not found | No matching record in OHIP’s system |
When a card is valid, SnapBill also returns the patient’s name and date of birth from OHIP’s records, allowing you to confirm the information matches.
Batch Validation
To validate multiple health cards at once:
- Go to Tools > Health Card Checker
- Switch to the Batch tab
- Paste multiple health card numbers (one per line) or upload a CSV
- Click Validate All
Results are displayed in a table showing the status of each card. Invalid or expired cards are highlighted for attention.
You can also batch-validate from the Patients page by selecting multiple patients and choosing Verify Health Cards from the bulk actions menu.
Rate Limits
OHIP limits health card validation to 5 checks per card per day. SnapBill tracks this limit and will warn you if you’ve reached the daily cap for a specific card. Validations are cached across your account to avoid unnecessary duplicate checks.
Automatic Updates
When a health card is validated, SnapBill automatically updates the patient’s record with:
- The validation result and timestamp
- Any demographic corrections from OHIP’s response
- The card’s current status (valid, expired, etc.)
This information is visible in the patient’s detail panel under the health card section.
