Submissions & Reconciliation
The Submissions page tracks every claim file you’ve sent to OHIP and every response you’ve received back. It’s your central view for monitoring the status of submitted claims.
Batches Tab
Each time you submit claims, SnapBill creates a batch. The Batches tab shows:
- Batch ID and file name
- Submission date
- Number of claims in the batch
- Status — Queued, Submitted, Acknowledged, Processed
Click on a batch to see the individual claims it contains and their current statuses.
Response Files Tab
OHIP sends response files back through MCEDT after processing your submissions. The Response Files tab displays:
- File type — Claim Acknowledgement, Error Report, Remittance Advice
- Download date — when the file was retrieved from MCEDT
- Status — whether the file has been processed and reconciled
- Payment information — total amounts from remittance advice files
SnapBill downloads response files automatically and processes them to update claim statuses.
Response File Types
| File Type | What It Contains |
|---|---|
| Claim Acknowledgement | Confirms your claim file was received by OHIP |
| Error Report | Lists claims that failed OHIP’s validation (with error codes) |
| Remittance Advice (RA) | Shows payment amounts, rejections, and adjustments |
Reconciliation Tab
The Reconciliation tab matches your submitted claims to OHIP’s responses, giving you a clear picture of:
- Paid claims — claims that were paid and at what amount
- Partially paid — claims paid at a different amount than submitted
- Rejected claims — claims that OHIP rejected (with error codes)
- Unreconciled claims — submitted claims that haven’t received a response yet
Aging Analysis
The reconciliation view includes an aging breakdown:
- 0-30 days — recently submitted, waiting for response
- 31-60 days — may need follow-up
- 60+ days — overdue, likely requires investigation
Syncing with MCEDT
SnapBill syncs with MCEDT periodically to download new response files. You can also trigger a manual sync by clicking Sync Now on the Submissions page.
The sync status indicator shows when the last sync occurred and whether any new files are available.
